Chaitanya Hospital respects your privacy. This policy explains what information the Chaitanya HMS app and web app (together, “the app”) collect, how it is used, who can see it, and the choices you have. The app is the hospital’s own system for running patient care: registration, appointments, consultations, prescriptions, laboratory and pharmacy work, in-patient care, billing and the patient portal.
1. Who is responsible for your data
Chaitanya Hospital decides what patient information is collected and why. Under the Digital Personal Data Protection Act, 2023 it is the data fiduciary. The app was developed by Zenocta Solutions, which stores and processes the data on the hospital’s behalf as a data processor and does not use it for any other purpose.
2. Information we collect
Account details. Name, email address, mobile number, your role (for example doctor, receptionist or patient) and, so that notifications can reach your device, a device token.
Patient and clinical records, entered by hospital staff or by you in the patient portal: name, phone number, date of birth, gender, address, emergency contact, blood group, allergies and medical history, appointments and queue tokens, consultation notes, diagnoses, prescriptions, laboratory results and reports, antenatal, delivery and fertility treatment records, in-patient and operation theatre records, vaccinations and, if given, an ABHA number. Records of children are created by hospital staff with the consent of a parent or guardian.
Billing information. Invoices, line items, payments recorded and GST details. We do not store card numbers or bank passwords.
Files and media you add. Photos or scans of reports and documents and, where the hospital uses them, voice notes recorded during a consultation. The app asks for camera and microphone permission only when you use these features.
Video consultations. If you book a video consultation, the app creates a private meeting link on the Jitsi Meet service (meet.jit.si). The call takes place on that service and is subject to its own terms. The app does not record, store or transcribe the call. Video consultations are for routine check-ins and follow-ups, not for emergencies.
App use needed to run the service. Sign-in events and an audit log of who created, changed or voided which record and when. The app does not use advertising identifiers, analytics or crash-reporting tools.
Device information. Fonts are downloaded from Google Fonts when the app runs, which sends your device’s IP address to Google in the same way any website visit does.
3. How we use your information
To provide your care and run the hospital: registering patients, booking appointments, managing the queue, recording consultations and prescriptions, laboratory and pharmacy work, in-patient care, billing and reports, and sending reminders and notifications about your care. We do not sell your information, show advertisements, or use your health records to train models.
4. Consent
When a patient is registered, hospital staff explain what is stored and why and record the patient’s consent, together with the version of the wording, the time and who recorded it. You may withdraw consent at any time by contacting the hospital. Withdrawal does not affect care already given or records the hospital must keep by law.
5. Who can see your information
- The hospital’s own staff, according to their role. For example, a doctor sees consultations and billing staff see bills.
- You, for your own records, in the patient portal.
- Service providers that host the app, such as Google Firebase and Google Cloud, who process data for us under their terms and may not use it for their own purposes.
We share information with others only where you ask us to, or where the law requires it.
6. Optional AI-assisted drafts
Some screens let authorised staff ask for an AI-drafted note, or to read a photo of a prescription or invoice. This happens only when a person taps the button. The text, recording or photo they chose is sent through our server to Google’s Gemini service, and the result is a draft that a person must review before anything is saved. The AI never saves, diagnoses or prescribes on its own.
7. Security
Data travels over encrypted connections (TLS) and is stored on Google Firebase infrastructure. Sign-in is required, and access rules limit each person to the records their role needs. No system is completely secure, so we cannot guarantee absolute security. If you believe your account has been misused, tell us immediately.
8. How long we keep it
Medical and billing records are kept for as long as the hospital is required to keep them under applicable law, and for as long as needed to care for you. Account details are kept until the account is deleted. Deleted data may remain in Google Cloud backups for a limited period before it is removed.
9. Your rights
You may ask to see the information we hold about you, to have it corrected, to withdraw consent, to have your account and data deleted, and to complain about how your data is handled. Some medical and billing records must be kept by law and cannot be erased before the legal period ends.
Deleting your account. In the app, go to Settings, then Security, then Delete account. If you cannot sign in, email care@chaitanyafertility.com from the address on your account, or call +91 944 103 0587, and say that you want your account and data deleted. Instructions are also at https://hms.chaitanyafertility.com/delete-account.
10. Children
The app is for adults (18 and over). Records of children are created by hospital staff with the consent of a parent or guardian.
11. Changes to this policy
We may update this policy from time to time. The latest version, with its revision date, is always on this page.
